Wholesale floor lamps: building a clear purchasing brief

A wholesale floor-lamp enquiry needs more than a quantity and a target price. The buyer and supplier need to agree what is included, how it will be checked and when each decision must be made. A clear brief makes differences between offers easier to see before the order is placed.

1. Define the purpose of the order

Separate lamps intended for stock from lamps assigned to a particular office project. For a project, record the workstation layout and installation sequence. For stock, identify the variants that need to remain distinct in the warehouse and the information a dealer needs to select them.

List the required quantities by configuration. Avoid treating body colour, plug type, controls and light specification as details to settle after comparing prices. Ask suppliers to identify assumptions and exclusions in the quotation.

2. Compare like-for-like configurations

Use one comparison sheet for every offer. Include the model reference, finish, light specification, controls, accessories, packaging and documents requested for the intended market. Distinguish standard options from items that require further development or confirmation.

Ask for the quotation’s validity, quantity basis and delivery terms in writing. Identify which costs are included and which need a separate estimate. Do not assume a volume discount, available stock or a delivery date until it has been confirmed for the actual enquiry.

3. Approve a sample you can identify

Label the review sample with its configuration and revision. Check assembly, base placement, joints, finish, cable routing and controls. Use it beside the intended desks and screens, and record any changes requested before approval.

Ask for the supporting documents that belong to that version. A report or specification for a similar-looking model should be checked against the proposed product. Keep the sample record, photographs and agreed changes together so production inspection has a clear reference.

4. Review the packed product

Include the carton in the sample review. Check how the base, upright and head are protected, where accessories are stored and whether assembly instructions are easy to find. Ask for packed dimensions, weight and the proposed number of cartons per lamp before arranging storage or transport.

Define the labelling needed to distinguish variants without opening every box. Agree how transport damage will be documented and what packaging checks are required. The shipping plan should be based on the packed product and the agreed delivery terms, rather than the appearance of an assembled lamp.

5. Plan delivery and repeat orders

Build the schedule around explicit milestones: sample approval, final artwork or labelling, production confirmation, inspection and dispatch. Ask which decisions affect the schedule, and record any changes with the supplier. Keep the requested delivery window distinct from a confirmed commitment.

For repeat orders, confirm whether the product, components, finish or packaging has changed. Agree how revisions and service enquiries will be identified. The original approved sample remains useful only when everyone knows which current configuration it represents.
